Job Overview

The Sr. Administrative Assistant is responsible for providing administrative support for the VP of Product Development, and VP of Global Account Management and/or IDeaS team members for IDeaS programs, policies, and administrative needs. 


For this role, you will have the opportunity to…

  • Schedule meetings, maintain calendars and coordinate schedules for Executives. travel arrangements, including international.
  • Coordinate travel arrangements, including international, and process expense reports.
  • Serve as Travel Champion to Bloomington office which includes processing passport/visa requests, renewal of hotel provider contracts, and main point of contact to the SAS Travel team.
  • Assist with and coordinate company events, dept meetings, client visits, catering, etc.
  • Create presentations according to company standards; compose and type/enter documents.
  • Assist department staff with administrative duties through the use of online applications.
  • Assist in performing specialized administrative duties related to the department assigned.
  • Provide back-up to Admin team.
  • Maintain kitchen and office supply inventory levels.
  • Collate and distribute mail and ship and receive packages.
  • Keep process documents up-to-date and maintain accurate filing systems.
  • Answer incoming calls and monitor intercom/security system for visitors.
  • Greet guests in a courteous, friendly manner; determine nature of business and follow up accordingly.

Do you qualify? You must have…

  • 6+ years administrative experience with diverse and global responsibilities
  • Works on assignments requiring considerable judgment and initiative. Understands implications of work and makes recommendations for solutions.
  • Proven ability to understand and carry out general instructions
  • Exceptional organizational skills and ability to multi-task in a fast-paced environment
  • Excellent communication and interpersonal skills (written and verbal)
  • Attention to and interest in detail
  • Intermediate knowledge of MS Office – Excel, Outlook, Word

Preferences for this role include… 

  • Strong level knowledge of Office 365 and Office apps: SharePoint, Teams, Yammer and OneDrive.


  • Must be able to lift 25 lbs.
  • Work is typically performed in an office environment, using simple, easy muscular movements, involving only the handling of light materials, tools, or equipment in easy work positions, and with no special speed requirements or long stretches of exertion.
  • Vision requirements for this job include close vision and the ability to adjust focus.
