Because of the nature of this position, it will be required to be in the office 5 days a week.

Position Summary

The Office Manager will be the first point of contact to visitors in the office and will oversee daily general office operations to ensure efficiency and productivity.

For this role, you will have the opportunity to…

  • Manage office and kitchen vendor relationships for the procurement of supplies/equipment.
  • Interface with internal and external service providers regarding office and building needs.
  • Serves as point of contact for internal and/or external guests while providing excellent customer service.
  • Order and oversees ordering of office and kitchen equipment and supplies.
  • Maintain kitchen and office supply inventory levels.
  • Collate and distribute mail and ship and receive packages.
  • Answer incoming calls and monitor intercom/security system for visitors.
  • Greet guests in a courteous, friendly manner; determine nature of business and follow up
  • Assurs appropriate telephone and reception coverage for office area; recommend and implement new methods and systems to provide maximum efficiency.
  • Lead Floor Warden team to ensure team members understand the evacuation process and Floor Warden team understands evacuation process to complete 2 evacuation drills/year and ensure team member safety.
  • Liaise with SAS partners to update and understand Business Incident Plan.
  • Coordinate and schedules requests for hardware, office moves, and office equipment, including office installs/repairs/service.
  • Establish and document office procedures; evaluates efficiency of office procedures and makes necessary changes.
  • Provide back-up to Admin team.
  • Handles confidential personnel issues and maintains confidentiality on other appropriate matters.
  • Work on assignments requiring considerable judgment and initiative. Understands implications of work and makes recommendations for solutions.

 Do you qualify? You must have…

  • 6+ years office administration experience
  • Excellent communication and interpersonal skills (written and verbal)
  • Proven ability to understand and carry out general instructions
  • Exceptional organizational skills and ability to multi-task in a fast-paced environment
  • Attention to and interest in detail
  • Intermediate knowledge of MS Office – Excel, Outlook, Word

Preferences for this role include… 

  • Strong level knowledge of Office 365 and Office apps: SharePoint, Teams, Yammer and OneDrive.
